5 Zapier Workflows Every Sales Team Needs

Cotizera's Zapier integration connects your account to 7,000+ apps. Here are 5 workflows you can set up today to automate the processes that eat up your sales team's time.

1. Quote accepted β†’ celebration notification + invoice creation

When a client accepts a quote, your team should know instantly. This workflow sends a celebration notification and kicks off invoicing automatically.

Trigger: Cotizera β†’ "Quote Status Changed" (filter by status accepted)

Actions:

  • Slack β†’ send a message to your team channel with the won quote details
  • QuickBooks / Xero β†’ create an invoice from the quote data

A salesperson closes a deal, and without lifting a finger, the whole team gets the news on Slack and the invoice is already drafted. That's the power of this workflow.

Tip: Customize the Slack message with emojis and the total amount to build team excitement. Nothing motivates like seeing deals close in real time.

2. Daily digest of all quotes created β†’ email summary

Sales managers need visibility without checking the platform constantly. This workflow sends a daily summary of all quotes created that day.

Trigger: Schedule by Zapier β†’ every day at 8:00 PM

Actions:

  • Cotizera β†’ fetch the day's quotes via the API
  • Digest by Zapier β†’ compile results into a summary
  • Gmail β†’ send the summary email to the manager

Every evening, the manager gets an email showing how many quotes were created, for how much, and for which clients. No asking around, no exporting, no wasted time.

Tip: Combine this with a filter by salesperson to send each manager only their team's quotes.

3. New product added β†’ update inventory in Sheets + notify purchasing

When you add a product to Cotizera's catalog, your purchasing and operations team needs to know to keep inventory up to date.

Trigger: Cotizera β†’ "New Product Created"

Actions:

  • Google Sheets β†’ add a row with name, price, SKU, and category
  • Email β†’ notify the purchasing team with the new product details

Your Cotizera catalog becomes the source of truth, and the Sheets inventory updates itself. The purchasing team is always in the loop.

Tip: Add a "Stock" column in your Sheet and use another Zap to alert when stock drops below a threshold.

4. Quote sent β†’ start a follow-up sequence in Mailchimp

Post-quote follow-up is where sales are won or lost. This workflow automatically starts an email follow-up sequence when you send a quote.

Trigger: Cotizera β†’ "Quote Sent"

Actions:

  • Mailchimp β†’ add the contact to a "Pending Quotes" list
  • Mailchimp β†’ start a follow-up automation (3 emails over 7 days)

The client receives value-driven content and strategic reminders without your team having to remember to follow up. This also works with ActiveCampaign, Brevo, or any email marketing tool on Zapier.

Tip: Create a Mailchimp automation that stops automatically when the client accepts the quote (use the "Quote Status Changed" trigger with status accepted to remove them from the list).

5. Web form submitted β†’ create client + generate first quote

Turn website requests into professional quotes without manual intervention. This workflow captures form data and generates everything automatically.

Trigger: Typeform β†’ "New Entry" (or Google Forms, Tally, JotForm)

Actions:

  • Cotizera β†’ "Find Client" by email β†’ if not found, "Create Client"
  • Cotizera β†’ "Create Quote" with the products and quantities from the form

Within seconds, the prospect has a quote ready. Combine it with an automatic delivery email and your sales process works 24/7.

Tip: Use hidden fields in your form to pass lead source information (Google Ads, social media, etc.) and record it in the quote notes.
